Policy, criteria and guidelines
World Congress Publications
1. Congress Publications include books, journal articles, scripts, video and film, cassette tapes, CD and CD-ROM, visual materials, music etc., which have been generated in response to a direct Congress invitation or commission, and which are intended for dissemination.
2. The host association should in conjunction with the World Congress Committee and the Director of Publications develop in advance of the Congress a plan for publications that is appropriate for the profile of that Congress
3. The host association should wherever possible budget the publications fully into the Congress budget, or make arrangements for funding from allied sources.
4. At least some of these publications should be of a kind to at least recoup their expenses or provide income to IDEA
5. The host association, has first option normally for a period of one year on all Congress presentations, papers, workshop reports, to select appropriate material for these publications above, and should consult throughout with the Director of Publications.
6. Following the selection or the one year, all remaining publishable materials should be forwarded to the Director of Publications, who has the next option normally for a period of one year.
7. Following this second selection, the remaining presentations, papers etc. should be returned to the authors. Where possible, the Director of Publications should give advice or make the materials available to other established international or national journals of drama/theatre and education or appropriate publishers.
8. Profits made on Congress publications after recouping their expenditure will normally be shared between the Congress host organisation and IDEA Publications on the basis of 75% IDEA, 25% Congress host, during the life of the Congress and until the next Congress. Profits will then revert entirely to IDEA Publications.
9. At least one edition of the IDEA Journal should mainly comprise Congress presentations and material.
10. Other Congress publications which emerge should be negotiated with the Director of Publications.
11. The copyright of all materials published by IDEA will be vested in IDEA.
12. The copyright of all other materials should remain for a period of two years following the Congress with IDEA, and if not published revert to the author(s).
Publications criteria
1. IDEA Publications also exists to create and promote other publications that set out specifically to achieve the aims and objectives of IDEA.
2. Publications should be regarded as self-funding and capable of at least covering their costs. Profits should be designated specifically for funding future IDEA Publications.
3. Publications should be in any or all of the three IDEA official languages, as appropriate.
On-line publications
1. The place of electronic publications will be considered on an on-going basis., along with the possibility, and the economic implications, of providing on-line access to all IDEA Publications.
2. The IDEA website will form a base for promoting IDEA Publications, and may as appropriate be a location for electronic publications, and further reports, special interest group recommendations, ancillary papers etc. that do not find their way into other IDEA Publications.
3. The question of web security of copyright documents will be reviewed carefully on an ongoing basis.
Dissemination and distribution
1. A coherent system for dissemination and distribution of IDEA Publications will be created, following the ratification of this policy. The system needs to take into account both the practical logistics and the economic implications.
2. The Director of Publications and Advisory Board will seek out opportunities for dissemination and promotion of IDEA Publication, through partnerships with
- commercial publishers, distributors and bookshops
- member associations
- other distributors of drama/theatre and arts education materials
Complementarity
It is part of IDEA’s publication policy to help develop an international network with other major publications, of complementarity and support rather than competition.
